Steps

  1. Step 1: Capture the call with consent and context

    Confirm the organization’s recording policy and participant consent before capture. Preserve the transcript, meeting date, participant roles and source timestamps. Note uncertain speaker attribution and transcription gaps. Remove sensitive fields that the target model or CRM is not approved to process. The micro-outcome is a controlled call record. Verify it by sampling the opening, middle and closing passages against the available recording or notes and by confirming that the customer and seller are not accidentally swapped.

  2. Step 2: Code customer statements as evidence

    Run the customer-evidence prompt using only the customer’s statements. Classify needs, desired outcomes, objections, current process, decision criteria and exact language worth preserving. Attach a timestamp or short supporting excerpt to each row. Separate explicit facts from salesperson interpretation. “Budget is approved” cannot be inferred from “we are considering it.” Verify the coding by tracing every theme back to at least one customer passage and by marking single mentions as limited evidence rather than a broad pattern.

  3. Step 3: Extract mutual commitments and missing information

    Run the accountable-action prompt over the full call. Record what each party explicitly agreed to do, the stated deadline and evidence. Keep missing budget, authority, timeline and procurement details as open questions. Do not turn a polite possibility into a commitment. Reconcile the action list with the customer-evidence table so the follow-up does not claim a need or decision that the customer never stated. The step passes when the commitments and open questions can be reviewed independently.

  4. Step 4: Prepare CRM fields and the follow-up draft

    Map approved evidence into the CRM fields your team actually uses. Preserve source excerpts in notes when permitted and avoid filling required fields with guesses merely to satisfy the schema. Draft a concise follow-up that restates confirmed outcomes, mutual actions and unresolved questions. Do not include internal qualification language or model confidence scores in the customer message. Verify the draft sentence by sentence against the coded evidence and commitments before allowing any automation to receive it.

  5. Step 5: Require approval before CRM write or email send

    Place a human approval step before updating consequential CRM fields or sending the message. The reviewer should check customer name, commitments, dates, links and tone, then explicitly approve or edit. Configure the first automation runs to create drafts and log changes. After approval, compare the destination record with the reviewed preview and retain a change log. If the automation fails, retry only after checking idempotency so the customer does not receive duplicate messages or tasks.
